When a factory, office or hospital in Faridabad needs a new air-conditioning or ventilation system, most of the early conversation is about equipment: which brand of chiller, how many VRF outdoor units, whether to use ducted or cassette indoor units. Those choices matter, but they are rarely what decides whether the system works. The same equipment performs very differently depending on how it was sized, installed, balanced and handed over.

1. Find out who actually does the design

Every HVAC system starts as a set of calculations and drawings: the heat load, the airflow each room needs, the duct and pipe sizes, and the equipment selection that follows from all of it. On many projects that work is either done by a separate consultant or skipped altogether and replaced with a rule of thumb.

Ask the contractor directly:

  • Do you run the heat load calculation yourselves, and with what method or software?
  • Who prepares the shop drawings and duct layouts, and in what format?
  • Will the equipment selection be justified against the calculated load, or quoted from a standard size?

A contractor with in-house design capability can defend every number in its proposal and adjust quickly when the architecture changes. It also removes the familiar argument between a designer and an installer about whose fault a problem is.

2. Insist the system is sized from a heat load calculation

“One ton per so many square feet” is still a common way to price air conditioning, and it is a common reason systems under-perform. The actual cooling load depends on orientation, glazing, roof exposure, occupancy, lighting, process equipment and, above all in NCR, the fresh air the space needs.

An undersized system runs flat out and still cannot hold temperature in May and June. An oversized one costs more, cycles on and off, and often leaves spaces feeling cold and clammy because it never runs long enough to remove moisture. 3. Look at how the site will be run

HVAC installation overlaps with almost every other trade on site: civil openings, false ceilings, electrical supply, fire sprinklers and plumbing all compete for the same ceiling void. Good contractors plan for this rather than discover it.

Useful questions include:

  • Who is the project manager, and will a supervisor be on site every day?
  • Is there an activity schedule, such as a bar chart, with dates for ducting, piping, insulation, equipment and commissioning?
  • How do you coordinate services in the ceiling void with other contractors?
  • Can you work in an operating facility, and how would you sequence around shutdowns?

4. Ask how the system will be tested and commissioned

Commissioning is where an installation becomes a working system, and it is the step most often compressed when a project runs late. At a minimum you should expect:

  • Pressure testing of chilled water or refrigerant piping before insulation
  • Duct leakage checks on critical runs
  • Air balancing so each outlet delivers its design airflow
  • Water balancing so each coil receives its design flow
  • Performance checks of room temperature and humidity against design conditions
  • A handover pack with test records, as-built drawings and operating manuals

5. Compare itemised proposals, not lump sums

Two quotations for the “same” system can differ widely in price because they are not describing the same scope. An itemised bill of quantities makes the comparison honest. Check that each proposal states:

A low lump sum that excludes insulation thickness, balancing or cleaning of ducts before start-up is not cheaper once those items are added back.

6. Check what happens after handover

Commercial HVAC systems need filters cleaned, coils washed, belts and bearings checked, and water treatment maintained. Ask whether the contractor offers an annual maintenance contract, how quickly they respond to breakdowns, and whether they keep common spares. A contractor that intends to maintain the system has every reason to install it well.

Local presence is practical rather than sentimental. Site visits during design are easier, supervisors can be on site daily, and breakdown response after handover is faster.   • Commissioning mentioned in one line with no method
  • Reluctance to describe exclusions until after the order
  • No clear person responsible for the site
